CD with linked multimedia

Hi
I have just found some relations in Australia and would like to send them a CD of the family Line.
I have been experimenting with making a CD but cannot find how to include the linked Multimedia (Census, BMD, Photos etc) without loading each Multimedia Item individually and then linking them to the corresponding people. I am sure that I am missing something somewhere but I cannot work out what from the Help pages etc.
Any assistance would be appreciated.

There are three ways to create a CD subset of your Family Tree, each with pros and cons.

1) Tools > Make a Family Tree CD
You can Select which Individuals are included using a Query or a Named List, and can customise the Individual Summary Report (for Web or CD) and optionally the Family Group Sheet (for Web or CD). These Reports must be customised to include the Multimedia records required. You simply burn the resultant ...PublicFH CD folder contents to a CD. Your Australian relations do not need Family Historian to view the Family Tree CD.

2) File > Split Tree Helper
This allows Individual selection similar to above, but you must create a copy of your Project before you start. It allows great flexibility in choosing which Source and Multimedia and other records are included. You then burn the entire Project folder structure to CD. Your Australian relations need Family Historian to view the Family Tree records. To do this there is FREE Version 3.0 download that works in Read-Only mode.

3) File > Import/Export > Export > GEDCOM File
This allows Individual selection similar to above, but you must untick Exclude all records which are not linked to the selected Individual records to ensure Source and Multimedia are included. This is easier to use initially, but each multimedia file must be identified and copied to CD along with the GEDCOM file. Your Australian relations also need Family Historian to view the Family Tree records as above.

I would like to use option 1, but I am having trouble finding out how to customise the report.

Do I use the 'Add' button to include Census data and will it include the Multimedia or do I need to do more? and what about BMD certs and photos how do I go about including these?

Your illustration shows Options for a Family Group Sheet (for Web or CD).
In Make a Family Tree CD > Step 3 - Choose Report Template I presume this is your chosen Primary Page Type report, which will show details for married couples.
You will also need to use an Individual Summary Report (for Web or CD) as your Secondary Page Type report, which will show details for unmarried individuals.
Alternatively, you could use an Individual Summary Report (for Web or CD) as your Primary Page Type report, which will show details for everyone.
Click the Help button on Step 3 for more advice.

First of all I presume you have entered Birth, Marriage, Death, Census, and any other Facts as applicable for every individual.
Every Fact should have a Citation linked to a Source record, which in turn is linked to Multimedia such as BMD Certificates or Census Returns or Photos.
You can also link Photos or other Multimedia directly to each Individual via the Multimedia tab of the Property Box.
You can link Multimedia directly to Facts via the Facts tab of the Property Box by using the Show Media camera icon button below the Facts list.

The best way to set Report Options is to use menu bar Reports > Miscellaneous Reports > Family Group Sheet (for Web or CD) or Individual Summary Report (for Web or CD).
Select one or two Families or Individuals with plenty of linked Multimedia and click OK to view the report.
Then click the Options button on the right, and use the Pictures tab and the Sources tab.

The Pictures tab customises Multimedia pictures linked directly to Individuals and Facts, but you may need to increase the Max Pics numbers to see them all in the report.

The Sources tab customises Citation, Source & Repository Information details and linked Multimedia pictures, which should include your BMD Certificates, etc, but you may need to increase the Max Pics per Source/Citation here too.

Click OK and you can review the Report to check it includes everything you require.
If not, go back and alter the Options until satisfied.
Remember to click the Help button for advice on each tab.
To get a better impression of what these Web Page Reports will look like, use the Save Report As > Web Page (HTML) option and view the Report in a browser.

When finished, use File > Import/Export > Export > Report Type and select your ...(for Web or CD) reports in turn and save their customisation options.

When you select these Reports in Make a Family Tree CD > Step 3 they should automatically use your chosen Options.

I'm away on holiday for nearly three weeks and will experiment on the laptop whilst away and out of broard band range.
