Adding Custom column to Source Records List?

Post by TennGen1900 » 07 Feb 2023 02:44

I am still very new and learning FH7. It has been a pretty steep learning curve so far. I am a very long term user of TMG, which had many customizations, and am in the slow process of migrating from that.
I know generally how to add a column to the Source List in FH7 using "Configure Columns" - but I don't seem to be able to add a custom-from-TMG field. The TMG field imported in to FH7, so it exists, and has data. But it is not listed in any of the Columns that display when I right click and Configure Columns.
My intention is to have a custom "file reference number" that I use to designate literal physical items in my paper files; it is my off-line hard-copy organizational method that I have used for years and used as an integral part of my TMG workflow and source designations.
Attached is a screenshot showing an expanded Source that shows the custom File Reference field with the data: V003.

When I go to Configure Columns>>Other..>>Add Column>>Insert Data Reference

I have expanded all the options under "Source" (even though they are shown here collapsed) and am unable to find my File Reference field to choose it so that it is displayed in the Columns.
What do I need to do in order to get this field to become a Column?

Welcome to FHUG - there are many ex-TMG users here, so I'm sure you will get lots of useful advice as you get deeper into FH.

The detailed column listings of the Sources tab of the Records Window is most suited for Generic Sources or for displaying columns that exist in all Templated Sources. For example, when you add your "File Reference Number" column, be aware that it would be blank for sources that do not contain that exact field.

You are very nearly there with what you have done so far. The Data Reference Assistant in your screenshot shows a field called simply Field. This is a general placeholder for all defined Source Template data fields (those shown with a (t) in your first screenshot). If you add this, you will get a data reference of the form %SOUR._FIELD[1]%. You now have to edit this manually to convert it to the appropriate value. In this case, change it to %SOUR.~TX-FILE_REFERENCE%. It looks complicated, but if you find Understanding Data References in the main program help and scroll to the bottom for the section on DATA REFERENCES And METAFIELDS, it is clearly explained there.

I'm wary of bombarding you with too much new information, but for future reference, if you want to display all columns of a Templated Source you would create a Custom Query (one for each template), using very similar techniques.
