Info on adding addresses, emails, phone numbers

Post by karibe » 11 Oct 2022 23:23

I know this is a very basic question, but I've been unable to find an answer after days of searching FH and Google. I'd like to add addresses, emails, and phone numbers of relatives currently living, so our family tree can also be a good resource for relatives. However, I can't figure out the best way to create a tab or section for these three pieces of info. Can someone point me in a direction, if info on this has already been posted, or let me know the best way to do this before I continue?

Thanks so much!

"Email" & "Phone" are in the extended FH Fact Set. For current address, you might consider creating a Custom Fact named "Current Address". I am sure others will be able to suggest more elegant solutions.

Thanks so much! I found a Contact Info FactSet to download, although the email fields won't work -- it won't let me input info in any of the three email fields. But it's a step in the right direction. I could input address and phone number, so that's great. Thanks for your help!

Mike has not picked this up, so in his absence, Welcome to FHUG.

I would caution against using FH to hold contact information. Family Trees, once in the wild have a habit of spreading to very distant relatives and then some-how personal data of living persons gets harvested by the likes of Google or suppliers of products you did not know you had a need for - who then send illustrated emails to all on "their mailing list".

Is your third cousin once removed on your paternal side, really willing to see their contact details shared with a maternal fourth cousin who they have never met (who might then onwardly share ...)

In some jurisdictions data privacy laws may prohibit sharing such Personal Information.

Keep addresses, emails, and phone numbers of relatives in a separate address-book in your email application? Then only share that after specific consideration of whether your want to give great aunt Nellie's email address to that rather disreputable (but genealogically keen) young cousin of your spouse.

If someone is then in your "family address book", you can then set a flag "in address-book" in FH?

I imagine you are referring to the custom Contact tab Email fields being blank.
The reason is that the download is designed for FH V5 and V6 as explained in the download page heading.
The format of Email fields has changed from GEDCOM 5.5 in FH V5 & V6 to GEDCOM 5.5.1 in FH V7.
The same goes for the Web URL fields.
However, the tab can easily be corrected to use FH V7 format as follows.
  1. Open the Contact tab and select cog Menu > Customize Property Box...
  2. Select item Email 1 and click View/Edit...
  3. In the Data Reference delete the underscore in front of EMAIL and click OK
  4. Repeat for Email 2 and Email 3
  5. Similarly for Web 1, Web 2 & Web 3 edit the Data Reference from _WEB to WWW
  6. Finally in the Customize Property Box dialogue click OK
However, those are not active links from which to open an Email or Website.
In the Contact Info Notes box, you can click the [...] vertical bar on the right to open the Rich Text editor window.
That allows active hyperlinks to be added for both Email and website URL such as:
mailto:post@domain.co.uk
http://www.domain.co.uk

Regarding the privacy issues raised by David, there is far more data than the Contact Info to worry about.
However, it is easy to exclude Facts such as the Contact Info attribute when exporting your Project.

Trevor, that layout might be too tall for many users, so a separate custom Contact tab may be better as discussed earlier.

What are the Data References you used for the Address, Email, Telephone, Website and Note fields?
Are they based on the Contact Info custom fact discussed here or some other fact?

As mentioned earlier, a rich text Note field may be preferable as the URL can be active hyperlinks.

Thanks for your reply Mike. A tall Property Box is no longer much of a problem now that we have a vertical scroll.

I use ...

Address %INDI.RESI.ADDR%
Email %INDI.RESI[1].EMAIL[1]%
Telephone INDI.RESI[1].PHON[1]
Website %INDI.RESI[1].WWW[1]%
Note INDI.NOTE2

The point no one has picked up on, is that these details are only useful for Living people, who shouldn’t be in an on-line tree in any case. :D

David raised that point on Wed 12th Oct and I replied immediately with workarounds, where having a dedicated ContactInfo fact is useful, as it can easily be removed from the tree before export.
However, in this thread, nobody has mentioned putting the tree online.
