private notes not private?

Post by BevSmallwood » 12 Sep 2022 22:44

I created an obituary fact but excluded the sentences [[ ]] thinking that it would keep them off the reports. It doesn't. How do I?

I believe the settings you have should prevent private notes from being included in the report. I can reproduce this problem.

This should be reported to Calico Pie, http://support.calico-pie.com/index.php.

Bev, there are some misunderstandings here.

[[Private Notes]] apply to the Note box on Facts, Individuals, and elsewhere but usually NOT any other fields.
Sometimes, it works for Address fields or other long multi-line text fields.

[[Private Notes]] do NOT apply to Template fields or Place fields or any other one-line text fields.

To exclude those fact Template contents replace them with the {blank} code.

I have noticed that the Note and Address fields associated with Fact Witnesses do not appear in reports.
I'm not sure whether that has always applied and is deliberate or it is a new feature of a recent update.

Mike,

I have some notes on Individuals that are included in [[ ]]. These are not shared notes. They are appearing in reports despite the fact that I have not ticked the option to include them. My recollection is that they did not appear in reports previously. That is why I suggested it be reported as a bug.

Are you able to reproduce this same scenario?

Bill, I cannot repeat that problem with FH V7.0.15.
I think you are talking about text in the Note box on the Main tab of the Individual Property Box.
It also appears on the Notes tab with a blue bullet.

If parts of that text are enclosed in [[ and ]] then the Inc. [[private]] Notes option includes/excludes the text correctly.
I've checked the Individual Summary Report and Family Group Sheets.

It also works for shared Note records.

Don't I feel a little embarrassed.

The case I was looking at was a private note that included marriage and divorce dates and places. I had created this a long time ago and then later when I had found sources I had added a marriage fact and a divorce fact. It was those facts that were appearing in the report, not the private note.

Hi Mike.
I'm looking at the Family Group Sheet report in this case. Using the {blank} in place of the sentence contents doesn't exclude it from the report. It is now just less informative:

so I'm left wondering at the utility of it?

Sorry Bev, I thought you making a particular point about the [[ privacy ]] brackets not excluding the Template text details.
[[ privacy ]] brackets only apply to long text fields like Note and Address.
The best you can achieve in a Summary Template is the {blank} code to reduce it to the fact name.

See How do I designate a fact type as non-printing? (20970) that explains all the options available and what is not possible.

It is NOT possible to exclude the Fact Witness details for a specific Fact Type, e.g. Obituary Fact Witness.
You can exclude all Obituary facts & their fact witnesses OR exclude all Fact Witnesses for all facts.

The one exception is Narrative Reports where the Obituary Fact Witness Role Sentence Template can be {blank}.
