Create Records Using AS v5.2

Post by klm2OUMK » 28 May 2020 07:30

Newbie
Just come back over from 'groups-io' to concentrate on learning how to use AS v5.2 to create records and citations

I have been using FH v6.2 successfully for several years to enter mainly primary BMD and extra limited notes from Census returns. I am now interested in using AS to start to add secondary resources with citations in FH.

I have just started to work through the AS Tutorials in Knowledge Base using the Sample Project to understand settings.

- Are there any 'census /marriage/birth certificate samples' I can use to try to enter into AS from the Sample Project?

- Are there any extra AS tutorial 'videos' to complement the tutorials texts?

It sounds like you have not explored the ancestralsources:index|> Ancestral Sources User Guide Tutorials deeply enough, as they offer most of what you have requested.

There are three sets of Tutorials for Census, Baptism & Marriage facts.

They all have step by step illustrated tutorials, and the Census & Baptism ones have a series of videos too.

At the Add Multimedia step both Census & Marriage have source documents to download.

Also the Family Historian Sample Project has several Birth, Marriage & Census media documents.

Don't overlook all the other advice regarding capturing sources:

I've just noticed this posting is related to the earlier Add Citation Sources Retrospectively v.6.2 (15761) two years ago.
It is not clear how much of the advice given then has been followed through.

My recent post has superceded post 2 years ago thank you.

I have been working through the AS tutorials and I am pleased that I have succeeded in loading sample census data from Sample Project onto AS. Also attempted to enter most of all the marriage certificate data on Sample Project.

At the moment there does not seem to be a Birth Certificate tutorial at the moment.

Do I have to delete added data to Sample Project before attempting my own inputs?

Now starting to decide on what steps to take next eg start to enter my own records data onto AS?

The AS process for adding Census, Baptism & Marriage is much the same for Birth, Death & Burial and there is Help built in to AS explaining the tabs and fields for all six processes.

You don't need to delete anything from the FH Sample Project to experiment with adding Sources. It might actually be beneficial to show how AS can supplement existing records.

Don't overlook all the other topics in the AS User Guide covering Informants & other Fact Witnesses, the 1939 Register, the AS Options, Templates & Tools.

It is particularly important to review the AS Options. Most settings reflect best practice, but you may wish to adapt some, especially the Templates for Source and Media titles.

Before starting on your own Project, you need a clear understanding of your objectives and how AS might help.
In your original posting, you say you've entered primary BMD and Census data, and now have an interest in adding secondary resources with citations. I am not sure that I fully understand what data you have and what you want to add.
AS is mainly focussed on capturing Sources from scratch, although it can supplement existing data.
So how do you see AS supplementing what you have?
You may have to experiment with a few typical cases, perhaps in a Copy of your Project.

Once again thank you for your helpful reply and advice . I will look at the other topics that you have recommended especially AS Options .

At the moment I have a lot of other data from other sources from over the years that is stuck in separate folders. Eventually I would like to add extra notes to FM/AS using a word processor.

I will experiment with a copy of my project first thanks

Just about to start to download several other Census Records into my same family and spotted a problem. So before I plough ahead I thought I ought to sort out the following first.

AS Census Data was not transferred to Individual Head of Family ID in FH v 6.2 ? - not sure if they are talking to each other correctly at the moment?

Yesterday I loaded an original copy of 1891 Census Record into AS successfully under 'Head' of family at the time in 1891. I had to manually change/correct several inaccuracies in AS such as:-

- changed/corrected his 'occupation' in 1891
- added and corrected siblings
- changed /corrected ages of several members of family from original copy of census

Result was Head 'changed' in AS from aged 40 down to AGE 39

I saved the changes in AS.

This morning when I opened the same family ID in FH I noticed that none of any my above manual changes had occurred in my original Family Historian Project .Can anybody please advise me whether I need to somehow 'link' AS with FH so that data input changes also occur in FH. I also noticed that the copy of the 1891 Census had not transferred to Multimedia tab in FH - all spaces were blank?

AS does not hold any data. It is just a "Front end" that edits the same Gedcom file as FH directly.
This sounds like you are adding to a different copy of your Project/Gedcom file.
If you use the Ancestral Sources Data Entry plugin whilst in your project, this ensures that your data will be entered into the correct project.

Yes, as John says, AS does not keep any data. It is simply a front end dialogue.
When you click Save it saves the data into FH in much the same way as you would manually.

Was FH open while you saved from AS yesterday?
If so, did you get the popup message in FH saying it had been modified by another program and accept the change?

Did you check FH yesterday that the changes had been applied?

Thank you John and Mike for your useful pointers/checks.

Just done the following checks as advised

Yes I have downloaded the Data Entry plugin whilst in project.
Yes FH was open when I saved from AS
Yes there was a pop up message in FH saying 'it had been modified by another program and accept the change'

After re examining FH I have now found evidence of data transfer from AS to FH in the 'Source Record' and 'Multimedia'
I will now enter other Census record years for my chosen family and then a birth Certificate eventually fingers crossed

There should also be Source Citations on the Census events for that year recorded against each member of the household such as the Individual Head of Family ID, and whichever immediate relatives were included in the Census.

Could anybody let me know when the Ancestral Sources Tutorial on 'Enter Birth Certificates' will be available?

Not any time in the foreseeable future.
Entering Birth Certificates follows much the same pattern as the other Source types.
Do not try and use AS for capturing GRO Birth Index entries.

GRO Birth/Marriage/Death Index sources are very different from Birth/Marriage/Death Certificates.

See how_to:adding_bmd_data#adding_birth_marriage_and_death_information|> Adding Birth, Marriage, and Death Information that explains the process if you were using FH and has links to how_to:recording_details_from_a_birth_certificate|> Recording from a Birth Certificate which also has advice about AS.
