NOTE tab in Property Box

Post by Helmersdale » 07 Jun 2017 17:47

Many thanks to everyone, I've completed the merge & now have one large file. See Merge two large family trees into one project? (15027) I have about 20 records that have duplicate entries in the FACTS tab but they are the closest people to me and I have lots more data to enter for them anyway so that is not a problem, they will get corrected as I add the new info. My question is this:
I am writing miscellaneous information in the NOTES tab in the Property box (such as where they lived when first married, how many bridesmaids they had etc ). But, where do these notes ever appear? I have looked at various Reports and Charts and never seen them displayed. Is it better to put this sort of information somewhere else and just not use notes at all? If so, where?
Again, many thanks for any advice.

.... and yes, I have studied many questions and answers in the Knowledge Base and am more confused than ever!

The snag with Notes is that there are loads of places to put them, as almost every item of data has a Note field attached.
If you simply keep using the Notes tab to Add Note about the person that creates what we call multiple instances of the Note, that apply to the whole person, and which are often difficult see anywhere other than the Notes tab. I suspect they all have a blue bullet on the left and are Type Local on the right.

I have double-checked, and those Record local Notes do appear in Reports.
In the Individual Summary Report look below the Individual Events and Attributes and then below Marriage sections, and they appear with the heading of Individual Note 1, et seq.
In the Individual Narrative report they do not appear by default, but in Report > Options tick Record Notes and they all appear after the final death/burial sentences.
The drawback with the Notes tab, and their position in the Reports, is they are dislocated from what they refer to.

The better solution is try and avoid Notes except for details that really cannot go anywhere else, or at least enter them nearer the Fact they belong to.
e.g.
Number of bridesmaids should go in the Note box on the Marriage event in the Facts tab.
OR if you know their names they can be added as Fact Witnesses to that Marriage event.

Where they lived when first married could go in the Marriage event Note as above, but it would be better in a Residence fact with a Date period From date of marriage and the place/address in the Place and Address fields.

There are examples of both the above in the Family Historian Sample Project.
Look at the Facts tab for Ian Stephen MUNRO and the Marriage event has Bridesmaids as Witnesses and is followed by a Residence fact with a From Date.

Usually the best way to handle such facts is to use a Fact, either a standard one via Add Fact > More Fact Types, or sometimes via a custom Fact created by you where it is likely to be reused several times. The next best alternative is to use the Note directly associated with the Fact to which the details belong as illustrated above, and those do appear in Reports and often do in Diagrams, although sometimes you may need to tick certain Options.

Do you remember earlier I advised you first spend some time becoming familiar with FH by studying the FH Sample Project and to see how_to:key_features_for_newcomers|> Key Features for Newcomers? Did you do that?

However, a lot of the basic advice is in the Book: "Getting the Most From Family Historian" or the FH Help pages.

Many thanks,
I've got it sorted now - putting as much as possible in 'FACTS' and I've added a new custom Fact and called it Miscellaneous Information for the rest. All the info now shows up in the Reports that I've looked at so far.
For any other novice looking at this, I had to alter the sentance template when setting up my new Custom Fact so that it read correctly in the reports.
