Source where-used report (citation)

Post by Linda Reinfeld » 08 Feb 2017 04:02

Hello

I am a new user of FH, thinking of migrating from TMG. In that software we had a report we could run that would show every record where a source had been used - every citation for that source. I see in the source window there is a column for how many times that source has be used, but I can't seem to find a report as to exactly where it has been used. I looked in the knowledge base but couldn't find anything....

Sorry for the ignorance....

Linda,

One way to see where a source is used is to go to the Records Window and select the Sources tab. Then select the source you are interest in and go to the toolbar and select View > Record Links.... This will pop up a window that shows everywhere the source is used.

Another way is to use the plugin called List All Citations for a Source. This will not work with the free trial, but is available once you purchase FH.

I migrated from TMG to FH last autumn after a bit of hesitation as I have ~25,000 people in my file. I do not regret it. Whilst I have had to adopt some different ways of doing somethings overall it is much better, especially things like mapping. I suggest if you haven't already, use the TMG import option and have a play. One thing I found annoying in the import was citation text that should be in Where within Source went into Text from Source, but there is a plugin Move Citation Text Fields that you can run once to move them on bloc, but be certain that is what you want first.

I found FH's use of Place and Address confusing at first. TMG structures addresses, so for example County is in the same place, but FH just uses a comma delimited text string, I think the original idea was you had town, county, country in Place and everything else in Address but have adopted only using Place which does have a drop down making finding addresses easy. I suggest you have a play and look at the extensive discussions on this in this forum.

If you used customised TAGS the sentences won't import, but it doesn't take long to edit them.

You may find it beneficial to import, review examples of all the Tags you have used in TMG and do a few mods in TMG and import again if they don't appear quite how you want.

Diagrams are a bit different, but much more powerful and flexible in FH, again just takes a bit of getting used to. Diagrams in FH can be an easy way of navigating your tree in FH.

FH does not open with the last person edited as TMG does. FH opens with the File Root person which you can easily change. The is a supplied query Last Updated Individual Records that you an use if you can't remember. I just make a note now.

Best of luck, I have no regrets about moving.

Be aware, the last updated person may not be the last person you were looking at when you closed FH. This method only works if you actually updated this person. Another 'poor' alternative is, before leaving, make the person in focus the root. FH will then open with this person in focus!

I believe there is an item in the wish list to cover this. More votes, more chance of it being implemented.

An alternative Plugin is Where Used Records Links that not only works for any selection of Source records, but also for any other type of record that has links such as Repository, Media, Place, and Note or even Individual and Family records.

BTW: A [kb]|[/kb] Search for "where used" lists the above Plugin twice. Also in the how_to:faq|> Family Historian FAQs there is how_to:find_links_to_source|> How do I find out which individuals have links to a particular source? that lists the View command, a Query and two Plugins.

Regarding last person used, see how_to:remember_current_records_being_updated|> Remember Current Records being Updated that offers 3 workarounds and the link to the Wish List entry you can Vote for.

Bill Henshaw:

Thanks for the info about where-used citations to use view/record Links. That is great for an overview of where the source is used

Dewilkinson:

Thanks for the support in migrating. I am concerned, but trying out things one at a time.

mike:

Thanks for the plug-in Where Used Record Links. That gives exactly the info that I needed.
Sometimes one of the hardest things in transferring to a new system is using new terminology. I did search on the term source where used but somehow didn't find what I needed.
