Delete unused addresses

Post by davidm_uk » 19 Jan 2015 16:22

Having (almost) finished tidying up all my Addresses so that they don't duplicate any information from the Place fields, I'm now left with a dozen or so addresses that are completely redundant, but I can't just edit them and delete all of the fields as it objects to saving an empty address entry.

I really want to remove these address entries completely, including the empty ADDR entries in the associated individual or family records. Is there an easier way of doing this than going all through the property tabs for these records and deleting the unwanted entries?

The whole exercise has been really tedious by having to refer back to the Place entries to check which bits to remove from the address. It would have been so much simpler if, in the Work With Places screen, it could display the associated place. I produced a crude custom report showing both address and place, but of course it's not dynamically linked to reflect changes as you make them.

Incidentally, I noticed that after having "corrected" some addresses and ending up with exact duplicates, if you then merge them all into one, the unwanted ones remain in the list until you close then re open the work with addresses screen.

I have just been through a similar process and spent 3 full days over Christmas changing addresses and places. It pays to get things right from the beginning!

The main reason I could not automate the process was I had items correct in address and place; the same details in both, full details in one or the other and different details in both as I had used the census details for the place and the full address for the address.

I do not see how you could write some code to fix the problems but I found it very tedious looking in the address list, clicking on where used which closed the window and opened a query and then modifying each address individually. Then going through the same process for the places.

My old (March 2012) Plugin Address Summary Report might have been of some use, especially if added to the Tools menu.

Peter, does your Plugin work with FH V6?

Having run another report and dumped it into Excel I can see that I still have quite a few entries to sort out.

If any Address values really are 'empty' then they will automatically be deleted when you Save and Open FH.

To remove redundant ones use the Where used button and in the Result Set select the Address column and hit Delete key.

But if you mean Place fields/records then they must be deleted in the Place tab of the Records Window.

At the moment I have some Address fields with the same information as the Place fields, so I want to clear these Address fields, but don't seem to be able to do that in Work With Data - Addresses, it won't let me edit and delete the content, then save it, displays an error message "Missing Value".

So how do I empty these Address values completely?

Re-read my reply, as I was updating it as you replied - use Where used.

David, my plugin works fine in FH V6; it only generates various formats of query result, optionally including Place.

Just a reminder once you have values in a Result Set Window, either from a Query or a plugin you can select the cells and press the Delete key to delete the fields.
