I keep all original documents/photos/etc in Secol sleeves in a series of binders. Each sleeve is numbered 1, 2, 3, etc., and I would like to add a new field (called 'Index' say) to multimedia records in FH5. The new field would just specify on which page the original of the multimedia item can be found, for example '58-3' would mean position 3 on page 58.

The aim is to create a text report which is index order, and for each index entry it would display the title and keywords. This report would be inserted at the beginning of the binder and would therefore be a table of contents.

In the horrible event that all my digital FH records were trashed through some calamity at least all the physical documents would survive and be fully annotated.

I have added the index field to the keywords for each multimedia item, but this, while very helpful in various ways, does not help in producing the report I want.

Is it possible to add a custom field to multimedia records, and can the report I suggested be produced?

My suggestion is to use the existing field Custom Id unless, of course, you already use that for something else.

For reporting, you should be able to produce a Custom Query of  Query Type 'Multimedia' which would show the fields you need in the order you need.

Thanks Peter. I have to confess that I had not seen the custom id field on the main multimedia object tab. I had only been looking at the four fields above the image in the Multimedia window - I really need to be more observant!

I have tried out your idea and it seems to be doing the job, I just need to refine the Custom Query I have produced to something closer to what I want.

For your use I agree custom ID is the way to go, but should you need a more complex set of fields, don't forget you can always use the GetLabeledText function and extract data from a note to use in queries.

Thanks for mentioning that. I've looked at the function now and that does seem very useful. Rarely a week goes by where I don't find out something new about FH and just how customisable it is. I'm very impressed.
