Media and Where Used

This is the first of a couple of questions as I use the opportunity of importing from TMG to start to a clean up of my data in FH.

When I display "all Media Linked to an Individual" I can see there are some photos/scans that are linked to facts that may more appropriately attached to say Places or Sources/Citations. There are also cases where I can see I have attached a Photo, such as a school photo, to an Education fact and I might want to break this link but put a new link directly to the person. In some cases I can see I would like to keep the existing link to a fact but include a link to the image to source eg the birth certificate.

I haven't found it yet but is there a "Where Used" facility for media items so that I can quickly run through each media item, decide if the link is in the correct place?

One way to accomplish this is to select the item in the Media Records list and then click on View in the menu and select Record Links... which shows where the media item is used. Select the correct link in the window and click on Go To.

Another way is to double click on the item in the Media Records list which opens a new window with a tab called Links. Select this tab and it shows where the media item is used. Double click on the link to see the property box of the person in the link.

Yes. what you are looking for is provided by the Multimedia Window obtained via the camera icon in the main FH toolbar.

Click on any Multimedia Record top left or Media thumbnail on right.
The Linked Records & Notes pane lists where used as explained below:

(1) Record Multimedia tab
Mostly the list will be just Individual, Family, Source, or Place records where the selected Media is linked to their Multimedia tab.
Click the [+] to expand the record details and the Media will be listed near the end against Multimedia Object.
Each record type has a different icon and uses different coloured text when expanded.
Alternatively, double-click the record to open its Property Box to view its Multimedia tab.

(2) Individual/Family Fact
The record is listed as above but the Loc. column will name a Fact.
Click the [+] to expand the record as above and then click [+] against the named Fact and the Media will be listed against Multimedia Object.
Alternatively, double-click the record to open its Property Box to view its Facts tab and spot the Media icon in the More column against the named Fact.

The Flags column lists any Media Flags such as Exclude from Diagrams, Exclude from Reports, and Use Note as Caption.

Be careful about linking the same Media image in too many positions, because it may then appear more times or in more places than you would like in Reports, but this can be governed by the Exclude from Reports Flag.

Thank Bill/Mike,

I can see there is many more ways to skin a cat than I could possibly use but of the many options you have given I can only get a couple working or find the options you talk about. I'm probably being particularly dense.

@Bill you say "select the item in the Media Records list and then click on View in the menu and select Record Links... ". Exactly which menu is the View option in? I've tried right clicking the item and the actual View menu on the toolbar but can't find a Record Links.

Your second option I can get to work

@Mike, In your method I'm OK until I get down to "The Linked Records & Notes pane lists where used as explained below". I can't find any "Linked Records & Notes pane"!! Not sure if I have switched it off but I can't find a method to switch it back on again. Am I expecting to see another pane say under the Media List on the left hand side of the screen?

I can can get both of your "Alternatives" to work and in the second case I can see there is a Column called "Detail" with a Fact Description that I assume is the same as the Loc. column you mention.

Once again sorry for being such a dumbo with this lot.

I was referring to the View option in the main Family Historian program menu. Take a look at the screen shot.

The View menu is on the main menu bar top left between Edit and Add.
If you select any Record, not just Media, then on the View menu the penultimate option is Record Links.
This lists any Records linked to the selected Record, but then you may have to search hard to find the actual links.
Either use the [+] buttons to expand, or select a Record and click Go To to open its Property Box.

Regarding the Multimedia Window, I inadvertently used FH V5 terminology. That pane is the one Bill identified with Media Record and Links tabs top right.
In the Links tab, all my options should work as described, and yes, the Loc column is now the Details column.
