Apologies if this has been asked before...

I am using FH 2.3. I use the notes section a lot - but am unsure how to retrieve this information without being in the individual record. Is it possible to run a query of all notes?

I tried running a narrative descendants report assuming it would include notes... but it didn't. (It does in Roots Magic!!)

When I am in the records window, I have over 3000 names in the list. I have a long list of sources and reposities. But the Notes window is blank. Does this relate to the Notes section that you get when you're in an Individual's record window (ie. you have tabs for Main, Detail, Events, Notes etc.) or is this for something else?

I know I've stored lots of fascinating notes - but can't always remember who they were about!

Advice please?

Hi Linda

This is a bit confusing but there are two types of notes:

1) There are the normal note fields that are found within events and attributes, within each individual and in several other places such as in source records and in multimedia records.

2) There are shared notes which can be linked to as many individuals, events, attrbutes, etc. as you like. Actually a shared note might not be linked to anyone or might just be linked to one person but it is the concept that they have the capability to be shared that it is important. The shared notes are the ones that appear under the Notes tab on the records window. If you have a particularly long note that applies to more than one person it is obviously better to have this as a shared note linked to those people rather than have the note repeated within each individual's record. This not only saves space within your file but means that if you need to edit the note you only have to do so once as there is only a single copy of it.

To create shared notes or links to shared notes usually requires you to use the Records window or the All tab within the Properties window. Try right-clicking on an event within either of these areas and you will see options to add a link to either a new note record or an existing note record. There are other ways to add shared notes which I won't go into here.

It sounds as though all of your notes are local to each individual. One way to find these notes is to use the Edit->Find Record menu item. I'm not sure whether you can make it find every note so try searching for a common letter like e or a. Make sure the record type is 'Individuals' and select 'note search'.

Hope this makes some kind of sense, I told you it was confusing :)

I'll have to explore the use of shared notes as I didn't previously know they existed... although I've often wondered about the purpose of that blank window!

Edit, Find works just fine for individual notes though.  It's just what I was looking for.

Ha!  Would you believe it?  I was just looking in the Downloads section for a query about something else and guess what I found?  Right!  An excellent query to pull all records with local notes!

Now why didn't I think to look there last night?  [oops]

The query is useful but do be aware that it only shows notes attached to the individuals themselves and not notes added to events and attributes belonging to the individuals.

Thanks Nick. At the moment though, it's the notes attached to individuals that I'm most interested in - so I guess I'm safe!

OK... having got completely side-tracked by other things, I'm back with trying to get to grips with these notes!  This time I'm interested in creating shared notes.  It strikes me these would be an ideal way of saving more general historical and factual information about places etc.  I can create an unlinked note with no problems - but can't work out how to link them with one or more people.

Am I being particularly dense?  Help please!  [confused]

If you normally use the property dialogue, go to the notes tab click on the add note icon and select link to note record, then select your shared note.
