Managing sources backwards

Post by Bethsmum » 03 Jul 2011 15:07

I am a new user of Family Historian and I am sorry if I am being thick with this question!
I have used various incarnations of Generations for almost 20 years but have now got FH 4. I have managed to move my names and sources via GEDCOM - which is more than I managed with other programs - but I can't seem to link them properly.
When I call up the Source list, all 900+ are there, all called 'unamed source' but with the ID number that was brought over from Generations.
From the Individual list, when I expand the names, the sources are there, but I don't know how to put these into the Individual's Source Pane.
Also I would plan to name the sources, eg, GRO birth cert, 1881 Census, etc, but keep the numbers (which it looks like FH does).
I am not (very) worried if I have to do each source one by one, because it would be a chance to review everything, but if I wanted to delete a source or otherwise amend it, would the ID number remain linked to the individual(s), or could it be reused?
Any help gratefully received, but I am not computer literate. (I suspect I may need some guidance one I get further on, but I want to get all my original data straight to start with!)
Many thanks.

It's quite difficult to visualise what you are seeing. It may be simply that your sources are name, but not in the right place.

If you could take a look at the Records window for the sources and open the + next to the source can you see any additional fields there and do any of the them have the name for the source?

When you talk about the Individuals Source Pane have you tired this:

Open the Individual Property Box by double-clicking any Individual Name in the Individual Records window.
You can also right-click the Name and select Properties.

Ensure the yellow Sources Pane is open by clicking the yellow scroll icon Show Sources in the icon bar at the top of the Property Box.
Click on the Facts tab and select any of the Facts listed.
If any have a linked Source Citation then it should be listed in the Sources Pane.
Click on the yellow triangle icon Go To Source Record in its icon bar to open the Source Record.
To get back to the Property Box click on the left arrow Go Back icon in icon bar at top.

Regarding naming and numbering here are some ideas.

Naming of Sources is quite a personal and complex subject.
However, you may the posting under Usage called How do you organise sources on your PC of interest at:
http://www.fhug.org.uk/cgi-bin/index.cg ... y&num=4698

Are the ID numbers that you mention, the field that FH calls Custom Id?
Or do you mean the Record Id that is shown in square brackets in the Title Bar and under Record Id on the All tab?

The Custom Id is a user defined field and can be edited in any way you like.
It does not have to be unique.
It does not have to be a number.

The Record Id is assigned by FH, and is usually best left alone.
It is always unique.
It is always a number.
If a Source Record is deleted its Record Id is not usually reused.

bethsmum:

I made the change from Generations to FH a few years ago and was confronted with the same issue.

As Jane suggests, it is probably best to work with the source list in the Records window.

Although at the time of my transfer over I did not have as many sources as you do, like you I decided to take the opportunity of reviewing and tidying up my source listing.

At the time I did my switchover I was using FH 3. The source numbering from Generations became the RecordId number in FH not a custom id. What I did was first print out my source list using Generations and where I found duplicates I made a note of the source numbers to assist with subsequent merging in FH. I then just worked down the source list in the FH records window, with the property box open. The Generations source name was IIRC somewhere in the property box so if it was still what I wanted to call that source, I simply cut and pasted it into the source title box. Alternatively I entered a more appropriate title.

Where I had duplicate sources (albeit perhaps with different citation details) I merged the relevant sources using FH's merge facility. Source numbering thus deleted is not reused by FH.

I hope these comments are helpful to you. If I can help in any other way with the transfer from Generations to FH, let me know.

Many thanks to everyone - I think I have sorted it out, I now just need to work out how to name all the sources!
I have looked at the how do you organise your sources thread, which has provided food for thought.
This has been really helpful. I have never posted on a forum before!
