Existing census images

First of all. Like others have said thanks for this new software it is great.

I found out today that when linking a name to an existing census image I encountered a problem.

I list my census images by the census reference number. These are all listed in my files as well as the copy in the Media file in FH.

I have just checked these files via AS and the existing file link by highlighting the button alongside 'existing link image' I have found that when there are piece numbers with different folio numbers the link only goes to one piece number image.

Lets say I have RG11-4786-Fo.1 Page 1 and RG11-4786-Fo.-2 Page 1 the existing image only shows the first one. The second is not listed.

Checking other piece numbers it is the same story.

That is RG11-4786, RG11-4787, RG11-4788 etc. If there are more than one of each of these numbers with several Folio numbers only one is listed.

Have I done something wrong here?

In the AS Image Viewer, the right-hand panel can show either image titles or image file names for existing images already linked in the GEDCOM file as multimedia objects.  You can use the Add Image button to add a 2nd (or indeed more, but unlikely) image to a census entry if needed.

Sorry if I didn't make myself clear.

I was using the 'add image' button and the list only showed one of each piece number (as stated). I didn't have this problem with Gedcom census. Indeed gedcom always reminded me if there was a similar image loaded.

Hi Victor

When you're linking an image and you click on the 'Link existing image already in file' it will show a list of all of the multimedia records in your file. However, you will notice the box which says 'only show images with relevant titles or file paths'. If this is ticked it will only show images with the word 'census' in title or within the file name or the folder names that the image is in. If you untick this it will show all of the multimedia image titles in your file. Can you confirm that you can see all your existing multimedia if this is unticked?

If you can see all your census images when this is unticked but not when ticked then this implies that the images do not have the word census in their title, or in their file name and are not in a folder with the word census in it. Usually one would expect to find all images for the same census in the same folder but it doesn't sound like this is the case?

If this doesn't make sense can you go into Family Historian and copy and paste into your reply the file path for a census image which is appearing in the list in Ancestral Sources and a file path for an image which isn't appearing.

Finally, you said 'Indeed gedcom always reminded me if there was a similar image loaded'. Gedcom Census and Ancestral Sources both warn you if you are adding a new image and this image already exists in your file as multimedia record.

I have unticked the box as suggested and all census images are now shown.

As to the duplicate image I will have to leave that until I come across it next time. It has only happened once since I started on AS hence leading to this message.

I did notice that in AS the census ref starts with UK census. I didn't encounter that in Gedcom census.

Just as in Gedcom Census you can specify the format you want the name of the images record to take. This can follow a template that you set up (unless you use the default one), or can be the same as the source title if using census method 1, or you can type in your own. I'm assuming you use recording method 2 in which case if you want the image titles to just reflect the census reference then under Tools->Options change the image title template from:

Census {COUNTRY} {YEAR} {REF}

to

{REF}

The census images in the same year are all in the same media folder. In fact all the census years are there. I just have to stroll down to find the one I want.

I will leave out the UK Census bit as this only appeared when I started on AS.

I have also decided to leave our Ref ID. The census reference will appear when I attach the image.

When I use the Ref ID (same as the census image ref) and print a narrative report the census reference appears three times on the report. Twice in one line at the top and the image ref at the bottom. With my not using the Ref ID on AS I just get the image reference (that appears in the file). That is all that's needed. Only problem is that the reference does not appear in the project folder, unless I add it afterwards.

Ideally I would have4 liked to use the ref ID so long as this does not appear in the narrative report.

I am using Method 1

Ancestral Sources allows you to do everything that Gedcom Census did regarding titles but gives you more flexibility and options so if you were happy with the way Gedcom Census dealt with your images why don't you set the A.S. options to do the same? When you saved a new image in Gedcom Census did you use the 'Same as image file name' option, the 'same as source title' option, 'same as source ref' or the 'Custom title' option? and did you have 'Rename File..' ticked?. (You can find out by going into Gedcom Census, select a year and then click on 'Choose Image' and 'Link new image'). If you used the 'same as source title' option then what was the title template that you used (look in Gedcom Census Options)?
