Notes and Occupations Problems (v4.0.2)

For me as a relatively new FH user, all has been going well until this evening. I've now got problems with notes that have begun to attach themselves to the summary of the identified individual in the focus window. Previously, I've been able to insert a general note and it has not appear here. Any ideas what I'm doing wrong?

During my investigations, I have discovered that my notes tab in the record window run in synch with the individuals' record numbers up to about 2200 but after that start to go awry between that shown on the notes tab and the actual record ID. Also, I see that I am well past 3500 records and yet my ID's shown on the main window stop just short of 3000. Should these Record IDs be identical, or is the earlier record/data input matching just a 'coincidence'.

And, as a final problem, (sorry!) the notes I've recently entered no longer appear prefixed with 'a box with an N in it' in the notes section of the property dialogue window. I can only get a blue dot (individual note' and 'red dot' family note. This seems to be linked with the data appearing below the person's prime births/deaths data on the main focus window

I'm sure I'm doing something(s) wrong and/or have inadvertantly reset something in the software. However, despite my trawling through the options/guidance notes I have not identified anything.

Any help would be appreciated. (I hate it when I can't sort things out!)

I suspect you are worrying for nothing.

1. To stop notes appearing on the focus window on 4.0.02 there is an option in preferences.

2. Note records are very unlikely to tie up on the numbers, as any person can have more than one note attached.

3. There are 4 or 5 different sorts of notes. So different notes appear in different places.

There are Shared notes (note records) which can be attached to People, Families, Sources or Facts.

There are local notes which are simply attached to any of the above, but are not records in their own right and can not be attached to more than one other item.

Personally I only use Note records where I need to attach the same note to multiple people and I seldom use general notes preferring to attach my Notes to Facts., which can improve readability on narrative reports.


As long as your notes are there and appearing where you want on reports etc then the mechanics should note worry you unduly IMHO.

Wow Jane, What a speedy reply - and before 7am! I can see why you get all the rave reviews on the posts - to which i unreservedly now add mine.

It's amazing what a night's sleep can do as I'd sorted a few things out for myself and sort of reached the same coclusions that you've set out. The change in my notes came about as I imported the first 200+ records from FTM so they were all 'linked' whereas, after that i'd not used the link facility. And, thanks to your reply, yes, I've now spotted the ability to not show notes in the preferences; I looked several times but my eye must have been drawn to the boxes on the left and I missed the two boxes on the right hand side one of which is the note suppression.)
I've also noted that the first occupation recorded is the one that is shown on the main tab of the property box. Not really what I want (or what would seem sensible, but I have picked up that there is a wish list request for this to be modifed and someone has suggested a workaround.)

Once again, very many thanks for your reply, I'm very impressed.....and my analy retentive need to understand how and why things work as they do has been well and truly satisfied. I'll now rest easy.[smile]
