Creating a list of individual notes

Post by DerekBCornish » 05 Oct 2003 01:31

Thanks for the Welcome! I have just ordered FH, and consequently am still experimenting with the demo version while I wait for it to arrive here in Kansas. I have imported a gendcom file from a now-defunct DOS genealogy program, Family Scrapbook, and the transfer went excellently. I had a lot of informal notes in that program,
attached to individuals and families. In the gedcom file they appeared as,e.g:

1 NOTE Buller Road and Sidney Road feature, but not sure how. Born in
2 CONT one or other?

...and they appear under the Notes tab in the relevant individual's properties
dialogue (the original family notes appear there, too).

Is there some way that I can generate a list of these Notes? This would be
very useful for deciding how to deal with what are essentially a set of unsourced ramblings in a more systematic way.

I've tried to find a way, but have had no success. I know that this is possible in Genbox and TMG because I've done it - they produce one-line expandible lists of all notes in a database.

I had thought that the Notes tab in the Records view would do this, but it
seems these relate to a different sort of Note. I am sure there must be some way of doing what I want to do, but I am limited in the experimenting I can carry out at the moment because my gedcom import exceeds the demo's limits for some activities.

Can some more experienced user advise me, please?

Derek

In the reports menu option in more reports you will find induvidual notes report, which should do what you want.

In FH you can attach the same note to multiple people these note appear in the notes tab.

Hope this makes sense.

Jane,

Thank you very much; I'll try it your way.

After posting I found another way to get the list I wanted. I closed my large gedcom file and then loaded one of the smaller sample ones that come with the demo.

Then I was able to run queries (should have thought of it before) I ran the query using Note (custom);
Query type:individual;
Columns: name & note; and expressions: INDI.NAME & INDI.NOTE2
Rows: Exclude if INDI.NOTES2% is nul

This gave me pretty much what I wanted: a list of individuals who had notes about them, and the first lines of these notes.

The query feature really is very powerful. I'm glad I've bought FH...

Yes, I see that a fuller list of notes can be generated from the Reports menu. That's quite helpful...

But I think I am looking for a more dynamic list of notes along the same lines that someone else here asked for when they inquired about a 'place list'. What I have in mind is a permanently-available list of the first lines of all the notes (not note records) in the database. The first line would be expandable to show the whole note if necessary - either (or both) in another window, or as a cursor-tip note.

Maybe I'll put it in the wish-list .

You can of course do this already with a query and then use it in combination with the properties box.

If you have not already looked at queries you will find them very powerful.

I have written a quick query and put it in the Query store to show all 'local' note records attached to a person. This will not show notes linked to events only those linked to the persons record.

Yes! Your query is very like mine but much more useful, as it includes the record icon and this enables one to switch to the original record to see the rest of the Note. How did you do that? I guess that comes with experience .

I'd still like to see a notes list that enables one to open up the abbreviated note with a cursor-tip 'balloon' or a single mouse-click. But that's not to take away from the power and flexibility of queries. They really are a great feature. And the Query Store is another one.

Thanks a lot for helping me out.
