Export from FH6 with notes problems
I am having an issue with exporting my gedcom from FH6 into other programs. When I import the gedcom to either Rootsmagic 7 or Family Tree Builder 2017 I have a note listed with every persons name. I have tried everything not sure what it is. The notes in question are not in Family Historian only after I export then import into other. When I would create any report this note shows up and sometimes the names are listed more than once. If I was to re-import this file from the other programs then the notes are there. Could anyone please help with this? Thanks

Re: Export from FH6 with notes problems
I suspect you are using the Export plug in rather than the built in export? If so can you confirm exactly what settings you have used so Mike can help you with his plugin.

Re: Export from FH6 with notes problems
Sorry. I have tried both the internal export option and the plugin both of these give same results, however when I use the internal export I also lose all the GPS coordinates for the places while the plugin saves them. With the export plugin I am using the Rootsmagic switch, if I use anything else I lose the coordinate numbers and still get the notes as shown. These notes are for every person in the file.

Re: Export from FH6 with notes problems
I think this is a follow up to an Email sent by Pete from the Plugin Store.
There is detailed help for the output formats applied for each GEDCOM Export Mode target product.
See Help & Advice and Output Formats and select (RMT) Roots Magic Tree or visit the FHUG Knowledge Base for Plugins Help & Advice: plugins:help:export_gedcom_file:rmt_roots_magic_tree|> Export Gedcom File ~ (RMT) Roots Magic Tree
There it says:
It is the Name Given: and Surname: local Note text that is occurring as shown in the screenshot.
The repetitions apply to the Primary Name and Alternate Names.
However, the Given GIVN and Surname SURN fields are not usually used by FH so perhaps they have been imported from somewhere else and need to be removed? Please confirm.
In the Property Box on the All tab expand the Name fields and those fields will be listed.
Do you need help with constructing a Query to list and delete those unwanted fields?

Re: Export from FH6 with notes problems
Yes I could use help in setting up that Query. How is this done? Thanks for your help
Re: Export from FH6 with notes problems
I have expanded the fields and there are no extra names or alternate names listed. I get these notes for every person with using the plugin or when using the internal export. So confusing.

Re: Export from FH6 with notes problems
On reflection, it is odd that each Note line starts with 1~ that signifies they are all Primary Name fields, and that is not possible.
In FH open the original Project in which you run the Export Gedcom File plugin to export to RootsMagic.
Open the Property Box for Abner Newton and check the Note shown near the top of the Main tab.
Does that record Note contain any text such as 1~Name Given: Abner and 1~Surname: Newton ?
If so, then that is where the Note text is coming from and it is those Note entries that need deletion.
I assume that has been imported using a GEDCOM exported from RootsMagic somehow?
If my guesswork above is wrong, the All tab expanded Name fields should look like the screenshot below.
The two Name fields are Primary Name and Alternate Name respectively.
The Given and Surname subfields are the culprits. If they do not exist then the Query is not required.

Re: Export from FH6 with notes problems
When I open the person box there are no notes listed there. When I use the All tab only given and surname are shown as Given Abner and Surname Newton. This is all that shows on FH. After I import to Rootsmagic or even Family Tree Maker then the notes appear.

Re: Export from FH6 with notes problems
Ok, it is those Given Abner and Surname Newton entries that are being converted to record Note text by the plugin, because otherwise they upset the RootsMagic Name field as explained in my original reply.
I am not sure why they are appearing multiple times in the Note. That should not happen.
It is those two fields Given and Surname that need to be deleted to prevent the Note text.
As I said before, FH does not usually use those Given and Surname fields.
So either they have been entered manually via the All tab, or imported via a GEDCOM from another product.
Can you explain where they might have come from so that it can be prevented in future.
It is getting late now, so I will provide the Query and the technique for deleting those fields tomorrow.

Re: Export from FH6 with notes problems
The original gedcom file came either from Rootsmagic or Family Tree Maker 2017. I honestly do not remember it has been awhile. I truly appreciate your help with this. So confusing to be sure. Thank you

Re: Export from FH6 with notes problems
I found this when i used note pad to open the gedcom. This is the gedcom generated from the plugin for rootsmagic tree. I found that using the internal export this does not happen. I had started to delete these files and looked good but then after exporting they were there again.

Re: Export from FH6 with notes problems
It is likely that these unwanted 2 GIVN and 2 SURN tags come from that long ago import.
They are superfluous for FH as those values are in the Name field and the tags only exist in the All tab so FH can claim 100% GEDCOM compatibility.
Something very odd is happening, so let me explain what should happen, and what your screenshot shows.
If you use File > Import/Export > Export > GEDCOM File the exported GEDCOM file is not customised for RootsMagic.
It is an FH form of GEDCOM file, so the 2 GIVN and 2 SURN tags will be kept and there is no Note.
If you import that into RootsMagic then there may be various data misrepresentations and upset displays.
If you run the Export Gedcom File plugin the exported GEDCOM file is customised for RootsMagic.
The GEDCOM should NOT have the 2 GIVN and 2 SURN tags, but a Note will record their information.
The objective of the plugin is to delete tags that upset RootsMagic, but retain the information in Note fields.
Strangely, your screenshot has both the 2 GIVN and 2 SURN tags AND the Note which should not be possible.
However, the Note correctly shows the information once and not 3 times as for Abner Newton.
To get to the bottom of what is going on may need several screenshots and other feedback.
Please post a screenshot of a section of the FH Project GEDCOM for Lynda & Michael Peters similar to the one just posted.
Also post screenshots of the Basic Options and Other Options tabs for the Export Gedcom File plugin.
I have assumed you are using the latest version 3.9 from the Plugin Store?
When we have a clearer understanding of the problem we can progress to the Query to fix the problem.

Re: Export from FH6 with notes problems
Sorry, Peter but that is not the GEDCOM I asked for.
That is the RMT UTF8 export from the Export Gedcom File Plugin but different to what you posted before.
This one satisfies the expectation of no 2 GIVN or 2 SURN tags, but a Note to record their information.
So what GEDCOM did you post before?
What I need to see is The Newton-Peters Family Tree.ged file in the folder:
...\Family Historian Projects\The Newton-Peters Family Tree\The Newton-Peters Family Tree.fh_data\
I need to see the section for Lynda & Michael Peters similar to the RMT UTF8 GEDCOM you posted earlier.
I am getting an impression that you are not entirely sure which GEDCOM is which.
The one I have identified above is the FH Project GEDCOM.
The The Newton-Peters Family Tree RMT UTF8.ged file is exported by the Plugin into folder:
...\Family Historian Projects\The Newton-Peters Family Tree\Public\Export\ as per Plugin Shared Settings.
The The Newton-Peters Family Tree.ged file is exported by Export > GEDCOM File command into:
...\Family Historian Projects\The Newton-Peters Family Tree\Public\ folder.

Re: Export from FH6 with notes problems
OK, those last two are what I earlier expected where I described what should happen.
The latest two screenshots contain the 2 GIVN and 2 SURN tags, but no Note.
It matches perfectly the The Newton-Peters Family Tree RMT UTF8.ged file exported by the Plugin.
That has no 2 GIVN or 2 SURN tags, but does have a Note with a single entry for each tag.
So I have no idea where the other 'odd' GEDCOM comes from nor why RootsMagic has multi-entry Notes.
If you import the The Newton-Peters Family Tree RMT UTF8.ged file into RootsMagic there will be only single entry Notes.
BTW: There are UDF such as _UID that probably need to be removed.
So my next posting will explain how to use a Query to bulk delete the unwanted 2 GIVN and 2 SURN tags.
It will also explain how to use a Plugin to delete the unwanted UDF such as _UID.
This kind of 'data cleaning' is typically needed whenever you import GEDCOM from another product.
Otherwise, you are likely to experience the type of problem we have been investigating here.
See how_to:index#importing_to_family_historian|> Importing to Family Historian with advice for various products.

Re: Export from FH6 with notes problems
Rather than use a Query there is a Plugin that will remove those unwanted data fields even more effectively.
So in your Project The Newton-Peters Family Tree download the Clean Unwanted Fields Plugin from the Plugin Store.
Run that Plugin and OK its initial warning that you have a Project open.
Read the advice at the top and delete all the default references from the Data References: pane.
Then type in new references or copy & paste from here as illustrated below:
%INDI.NAME.GIVN%
%INDI.NAME.SURN%
%INDI._UID%
The first two will remove the superfluous NAME tags and the last will remove the irrelevant _UID data.
Finally, click Apply Data References and Confirm Changes to delete tags and produce a Result Set of deletions.
If unsatisfied with those deletions then use Edit > Undo Plugin Updates before closing FH.
