Other Information

On the last part of AS there is a box for 'Other Information' but if you enter any text in it, it doesn't show in the following text script?

What do you mean by ".... following text script"?. Are you referring to the Autotext?.

It's an additional text box that you can enter information into but unless you have a title template or auto-text template that includes the {OTHER} tag then there's no point entering data into it. Using the AS default settings the only place where it is saved is into the census source title.

It could be a useful addition for longer references of certificate/GRO types. How can it be activated?

The Autotext Templates "Generic....." and "Generic ..... (Data Only)" that I use for Death, Birth, etc includes the {OTHER} tag so anything I put in the field (which I very rarely use) gets included in the Source record "Text from Source" field. I don't have that tag in other templates that I use (eg Birth Certificate) as the field would not normally be included on the original source.

Would be nice to find out how to activate 'Other Information' on a technophobe's AS?

It comes back to what AutoText template do you select within AS when inputting data?. You may well have to modify one or more of the templates, but without knowing which ones you use it's very difficult to give anything other than generic advice. As far as I recall (and I may well be wrong here - I'm sure Nick will clarify), the Generic templates include the {OTHER} tag by default but most others do not.

It would be helpful if this was printed from the Other Information:

John your screen shot is just showing the Other Information box and obviously I know where that is! I wanted to know where you want that information to be displayed!

So where would want the word illegitimate (as in your example) to appear? If, for example, you have chosen the 'Birth Certificate 1837- (England and Wales)' auto-text template are you expecting 'illegitimate' to be displayed somewhere in the source text that is generated? If so where?

e.g. You might mean you want it here:

Or are you wanting illegitimate to appear in the source title?

It's just total guesswork from me because you're not explaining clearly what you want.

Hi Nick,
Currently there seems to be no place for Illegitimate births, the word can only be typed in on the eventual text document. Surely there could be a place for it in the initial page of AS Births which would carry it forward to the auto/text page without me typing it in?
I seem to find quite a lot of these!

Personally I would think the question still remains as to where that description would appear on the AutoText.

I have never seen the word on a Birth Certificate so would not want it on the transcript of the certificate and, for older parish record, the description on the ones I have is along the lines of "Base Child" which is what I add to the transcript.

You keep asking the same question without telling me EXACTLY where you want the word to appear. Please generate source text using the auto button, add the world illegitimate where you want it to appear and then paste a screenshot of it in. If you do that then I can tell you how to achieve this.

If the word is required in the Auto Text transcript then simply type it in there.
It is just as efficient as typing the same word into the Other Info: box and avoids customisation with the {OTHER} tag.

Well yes I was going to make this point myself but would really like to understand where John is expecting to see the word illegitimate!

I don't know if this is the kind of example John is thinking of, but in Scottish birth certificates the word 'Illegitimate', sometimes surrounded by brackets, often appears in the first column below the name. I just type it directly into the text.

That may well be the case Laura (and thanks for the suggestion :)) but why on earth wouldn't John have said that he was referring to the Scottish birth certificate and wanted the word to appear below the name? It's like I have to be a mind reader as well as a programmer!

If this is the case John and you are referring to the Scottish birth certificate then firstly, as Mike said there isn't really a lot of benefit to typing the word illegitimate into the 'Other Info' text box - it's just as quick to type it directly into the source text before you save. However if you do want to do this then all that is required is to edit the auto-text template and add the keyword {OTHER} in the correct place :

1) go to Tools->Autotext Template Editor
2) Choose Birth and then the Scotland birth certificate from the lists at the top.
3) You should then replace all the text in the main text box on the screen with the auto-text template code below. Make sure you delete all the text in that main text box and then use the 'Select All' below and then copy and paste this into the box (this is assuming you've not customised it yourself in the past - if you have you'll lose those changes) :

Code: Select all

{RTF-TITLE}Certified Copy of an Entry of Birth
{DATEREGISTERED.YEAR} Births in {PLACE}{RTF-TITLE.OFF}

<table="{RTF-WIDTH1}|{RTF-WIDTH6}|{RTF-WIDTH5}|{RTF-WIDTH1}|{RTF-WIDTH7}|{RTF-WIDTH7}|{RTF-WIDTH7}">
{RTF-HEAD}<row> No. | Name and Surname | When and where born | Sex | Name, Surname, & Rank or Profession of Father.
Name, and Maiden Surname of Mother.
Date and Place of Marriage | Signature and Qualification of Informant and residence, if out of the House in which the Birth occurred | When and Where Registered, and Signature of Registrar </row>{RTF-HEAD.OFF}
{RTF-NORMAL}<row>  | =LINKIND[{KEYPERSON.ID}%{KEYPERSON.FULL}]
{OTHER}| {YEAR} {DATE.MONTH.FULL} {DATE.DAY}

=IF[{ADDR}%{ADDR}, %]{PLACE.SHORT} | =IF[=EQUALS[{KEYPERSON.GENDER}%male]%M%F] | =IF[=EQUALSNOT[{KEYFATHER.FULL}%\<No Name\>]%=LINKIND[{KEYFATHER.ID}%{KEYFATHER.FULL}] {KEYFATHER.OCCUPATION}%]
=IF[=EQUALSNOT[{KEYFATHER.FULL}%\<No Name\>]%=LINKIND[{KEYMOTHER.ID}%{KEYMOTHER.GN} {KEYFATHER.SN}]

=LINKIND[{KEYMOTHER.ID}%{KEYMOTHER.FULL}]%=LINKIND[{KEYMOTHER.ID}%{KEYMOTHER.FULL}]]

=IF[{MARRIAGEDATE}%{MARRIAGEDATE.YEAR} {MARRIAGEDATE.MONTH.FULL} {MARRIAGEDATE.DAY} %]=IF[{MARRIAGEADDRESS}%{MARRIAGEADDRESS}, %]{MARRIAGEPLACE.SHORT} | =IF[=EQUALS[{INFORMANT.IDENTITY}%FATHER]%=LINKIND[{KEYFATHER.ID}%{KEYFATHER.FULL}] Father%=IF[=EQUALS[{INFORMANT.IDENTITY}%MOTHER]%=IF[=EQUALSNOT[{KEYFATHER.FULL}%\<No Name\>]%=LINKIND[{KEYMOTHER.ID}%{KEYMOTHER.GN} {KEYFATHER.SN}]%=LINKIND[{KEYMOTHER.ID}%{KEYMOTHER.FULL}]] Mother%=IF[{INFORMANT.JUSTNAME}%{INFORMANT.JUSTNAME}%=LINKIND[{INFORMANT.ID}%{INFORMANT.FULL}]] {INFORMANT.DESCRIPTION} =IF[{INFORMANT.RESIDENCE.ADDRESS}%{INFORMANT.RESIDENCE.ADDRESS}, %]{INFORMANT.RESIDENCE.PLACE.SHORT}]] | {DATEREGISTERED.YEAR} {DATEREGISTERED.MONTH.FULL} {DATEREGISTERED.DAY} at {PLACE}

{REGISTRAR} </row>{RTF-NORMAL.OFF}
</table>
4) Save this change.
5) On the main screen you'll need to choose the 'Custom' version of the template from the list, rather than the Built-in one.

Just to explain that the change I made to the template is to start a new line after the individuals' name and then inserted the {OTHER} keyword:
image.png
image.png (169.98 KiB) Viewed 466 times
This then ensures that whatever is entered into the Other Information box appears under the name:

It is exactly as Lorna said, there seem to be several of these illegitimate births in Scotland and as it is printed on their birth record, it should be the same on AS. sorry if you misunderstood my meaning.
I've adapted the text on the template, Nick, but how do I find the relevant birth template, there doesn't appear to be 2 options just one Birth?

When you click the Auto button just choose the Scotland birth certificate, assuming that's the one you've edited and see if it displays the contents of Other Information. If it isn't showing the 'built in' and 'custom' versions to choose from when you click on Auto then you probably have the option set to not show built in templates if there are customised versions (this is a perfectly sensible option to have set).

Yes that works, Nick but as just the Auto SR Birth Certificate, there isn't a custom one-it appears to be one and the same? Presumably if I don't add Illegitimate into 'Other Information' it will print without it as usual?
I noticed in the 'Text' result that it heads up with CODE: SELECT ALL should I delete this from the edit on the template?

You should have clicked Select All in the FHUG forum post above (to select the text) and then CTRL+C to copy and then pasted that into the template (CTRL+V). Try following the instructions above again.

It displays whatever you type into 'Other Information' beneath the person's name in source text. So if you leave it blank it won't display anything so will look as it did before you modified the template.
