Edit AS entries?

Post by fhtess65 » 11 Oct 2022 16:45

Is there a way to edit AS entries in AS? I'm still struggling with workflow and realized I missed something, but now can't figure out how to go back and edit. Or do I have to start again?

Not really. AS is used to create a source, images, generate facts, all linked together but when saved it effectively sprays this data into the required places across the file. Pulling all this data back together to then allow it to be edited would be an extremely complex task and for most users would only be required on relatively few occasions. Family Historian has perfectly good facilities for editing facts, sources and images so it would be a lot of effort to add these facilities to AS without a significant gain in time saved.

Ok, thanks...at least now I know.

I am still having issues figuring all this out. Do I always edit the source template to enter the citation details? On the baptism, it prompted me to enter those citation details, but on the census it didn't, so that's all blank.

Again, operator error and why I'm using a test database, because I really want to master this. I feel like I need a flow chart of steps.

Am I doing something wrong that I'm not getting the option to edit the templated source for the census, when I do get it for the baptism?

You must have at some point selected 'method 2' as the recording option for Census for some reason. Method 1 is the default and the one you would want to use.

I would suggest your work flow should be:
1) Select the type of entry (e.g. Census)
2) Select the image(s) to attach
3) Fill in data into the various boxes (go through all the tabs carefully for non-census sources), remembering that in the case of things like places, occupation, etc. you should record the data in the format that will make sense when the facts are generated, rather than as written in the source document. So, for example, I'd record occupation Ag Lab as Agricultural Labourer, I'd record 'G'Hall' as 'Grappenhall, Cheshire', etc.
4) Fill in your source template - many of the fields will have been automatically filled in when you open it but you'll need to fill in some and choose the repository. Click OK to save the template data.
5) Click Auto to choose a rich-text auto-text template (if you only ever use rich-text then you can hide the plain text ones in the options). If this is a census click the 'Fit' button.
6) If you're absolutely certain all the various text boxes have been filled in correctly then it's time to edit the source text carefully to make it a more accurate transcript of the source.
7) Click Save.
8) You may be asked if you want to create or update birth and/death facts. Read the options offered carefully before accepting or rejecting each.

Options I like to set that are not the default (I don't use templated sources) are 'Hyperlink to individual records' and 'Offer to create birth facts...' '...even if existing birth includes place and date' (in the options for all 6 source types). I also use the option when saving an image to rename the file to the same name as the image title.

Thanks, Nick, that's brilliant. I didn't understand the consequences of choosing Method 2 for census recording, over Method 1.

I really appreciate you taking the time to spell things out for me so clearly. I have many, many, citations to redo in my main database and would love to use AS to record them, but need to master the program first. Your directions will definitely help with that.

It's odd - several times now, I've followed the steps below and it's worked fine, but this time, when I reach Step 7, I click save and get the following message - not sure what I'm missing - I've done everything as before - how do I "confirm"?

I really like using AS and thought I had this down, but now another curve ball.

Thanks to anyone who can enlighten me.

It means you've typed something into the 'name' field of the 'Associated Individuals' section under the 'Further Information' tab and haven't click the 'Add' button. AS is checking whether you have forgotten to add the associated individual or have changed your mind and decided not to add them.

Ahhhh...thank-you. Will remember that from now on. As always, I appreciate your help. The more I use AS, the more I like it!
