Post by scarlet22 » 02 Jun 2014 13:12

Help! I have just downloaded AS, and I am a bit confused how to put in the census title - I have one page so do I put in 01 or 001?
Can anyone help me please

You don't enter a title at all. Just select the census country/year, the place (e.g. Warrington, Lancashire), the address (e.g. 50 Robson Street), and then add the individuals. The title is automatically created for the source based on a template that is specified in the Options (under Tools menu). Do have a look through the help pages and also the Knowledge Base tutorials which include videos (the tutorials were created by Mike Tate). It is recommended that you use the Family Historian sample project until you are familiar with how AS works.

Hope that helps

You can of course just delete the text that AS puts in the Source Title field and type in your own, if you find that you can't use the expression in the Options, Census setting, Census Title template to get the sort of title that you want (as I can't).

However if you do want to type in your own source title, do this as the last operation before you save the entry, as AS will overwrite the field as you add or change data in certain other fields.

David, if you want control of the Title field without AS overwriting it, then set the Title Template to {OTHER}.
Whatever you enter into the Other Info field becomes the Title, and no other fields will affect it, not even Census Country nor Census Year.

The only situation where this may have a side effect is if you use {OTHER} in an Autotext Template.

Are you aware that there are more Template Keywords than those listed by the << button?
See the Help on Template Keywords and Function for full details.
They may allow you to automatically create your desired Title.

Mike, thanks for your reply.

The standard I use for source titles for census entries is (for example) "Census 1901 - Frederick J Jones (b1878)", where the birth year is that in FH, which may be in FH as the full date, or 1878 (app) or Q1 1878 etc. I've got the default set to:

{SOURCETYPE} {YEAR} - {KEYPERSON}

but can't see see an option in AS to insert that birth year into the source title, but maybe I'm missing something?

That source title is the same title I use for multimedia image(s), although that may have p1 or p2 appended to it if the entry spans 2 pages, or "index" if I've also attached a screen capture of the Ancestry index for the document.

Your analysis of the available Template Keywords is correct.
The only improvement I can suggest is to add (byyyy) to the end of the Template as an aide memoir.

But, as you say, the year must be edited into the Title after entering all other fields to avoid it being reset.
Even if the fields being changed do NOT affect the Title, because their Template Keywords are not used, they still reset the Title.
I am tempted to report that behaviour to Nick Walker because it is annoying and unintuitive.

The behaviour you are describing regarding the title being updated if you've manually edited it sounds like a bug. But I'm not seeing that issue, it seems to work as expected for me.

For example if I set the template to the one that David uses ({SOURCETYPE} {YEAR} - {KEYPERSON}) and then choose a census and year my title automatically shows:

Census 1871 - [No Name]

Next I can select an individual and the title becomes:

Census 1871 -Jo Bloggs

Then I can edit the title manually to:

Census 1871 -Jo Bloggs (b1828)

Now if I begin to enter a place name (or address or ref id or Other) I get a message:

Making this edit with cause the Title to automatically change, losing your manual edits. Click cancel if you don't want the title to be automatically changed.

If I then click Cancel as the message suggests, then the title remains the same (Census 1871 -Jo Bloggs (b1828)) as expected and any changes I make to Place, address, reference, Other Info, key person do not cause the title to change.

Do you get a different result when you do this? What do I need to do to see the problem you're having?

David: Could you change your template to {SOURCETYPE} {YEAR} - {KEYPERSON} ({OTHER}) and then type the date of birth into the Other Info field?

Regards

Sorry Nick, I misunderstood the message. I thought it meant Cancel the field change in order to avoid the Title change.

Nevertheless, why does a Place (or Address or Ref Id or Other) field change trigger that message in this example, since these fields do NOT affect the Title, because their Template Keywords are not used?

Should this message only occur for fields whose Template Keywords are used in the Title?

Then if there are no Keywords the Title is free text and no message will ever be produced.

That trick of using {OTHER} in Title only works if {OTHER} is not used in Auto-Text Templates.
That would normally be case with Census but not for other data types, and David uses the same Title format throughout.

That's OK. I wonder if that's also what is happening with David. I think perhaps Yes/No might be a better combination rather than OK/Cancel - something for a future version.

Yes it probably should, although this is not a trivial change to make and currently once you've clicked Cancel it doesn't appear again so it certainly isn't a big issue. However, I'll try to improve this in a future version.

Agreed but it is a fairly easy task (it might take a few mins) for David to remove {OTHER} from the 'Generic' auto-text templates (which are the only templates that include {OTHER}).

Yes, that's what I'd thought, so I'd not been using Cancel. Now that I know it's not a problem for me, although as Nick says Yes/No might be clearer, by no means a priority though.

I've just set the title to {SOURCETYPE} {YEAR} - {KEYPERSON} (bYYYY) as suggested by Mike, which is just as easy for me to overtype with the birth year, provided that I remember to do it before saving the new entry.
