Inserting Narrative

Post by johnhp » 26 Jan 2021 16:57

HI,
I would like some advice please and have Just upgraded to V7.

My question is if I want to put a narrative for each record could somebody tell me what is the best way to do it please.
I do not want to get duplications when I run a report.
Many thanks

John

Hi John,
By each record do you mean each Individual Record or each Fact as listed on the Facts tab?

What sort of duplications are you talking about? Please give an example or two.

Fundamentally, little has changed in FH V7 compared to FH V6 as far as Narrative report Sentence Templates are concerned.
See FHUG Knowledge Base Narrative Report Fact Sentence Templates.

Hi Mike,
Thanks for your reply, i was not sure where the best place to put a person narrative either in Notes or Facts.
i did put info into facts related to dates and also a small narrative into Notes.

It did seem that when I ran a report it appeared that it kept repeating itself. Perhaps it pulls info from both facts and notes, so if i had put similar info in, then it all pulled together.

All i really wanted to know was where was the best place to put a person narrative without it repeating itself from other places.

Regards
John

In Narrative Reports the default source of narrative text is the Tools > Fact Types definitions of Sentence Templates as explained in Narrative Report Fact Sentence Templates. Did you look at that?

For each Fact on the Facts tab, the Sentence that will appear in the Narrative report is shown at the bottom.
If what you write in the Note box repeats what appears in the Sentence below, then that is what will appear in the report.
To inhibit or alter the Sentence, choose an option from its droplist on the right, and ensure it dovetails with what you write in the Note box.

Alternatively, if you want to inhibit the Sentence for every occurrence of a Fact, then in Tools > Fact Types change its Sentence Template to {blank}.

Hi Mike,
Apologies but I am a little confused and need your advice please.

You mentioned "Narrative Report Fact Sentence Templates" I cannot find this, where do i find it?

Where you mention inhibit or alter a sentence there are two options a, edit sentence b, exclude sentence, would the latter one be best?

On the last paragraph I am unsure how to change Fact types Sentence template to {blank} totally flummoxed!

Thanks
Kind regards
John

In my first reply I said:
"See FHUG Knowledge Base Narrative Report Fact Sentence Templates."
The FHUG Knowledge Base is reached by clicking Knowledge Base in the blue bar near the top of this FHUG Forum page.
Click any blue link that is provided offering advice and that page will open in the Knowledge Base.
That advice I've provided explains all about Sentence Templates and where to find them.
They are in the Tools > Fact Types... definitions that apply to every Fact Type. I presume you have never looked there.
Once you have found the Sentence Template for a Fact Type, delete it definition and replace with {blank}.

That is what happens when you choose the Exclude Sentence for a specific Sentence that only affects one Fact.
I cannot advise which option is best without knowing what you've written in the Note box and what your objectives are.
Sorry, I am not a mind reader!

Hi Mike,

Thanks, you are quite correct i have never really used the knowledge base, but I certainly will now. As you surmise I have never really made any alterations to FH.

I do appreciate your help and am most grateful for your suggestions

Kind regards

John
