Word file or PDF

Post by janefrances » 28 Sep 2014 14:45

Hello everyone. I'm trying to add a four page will as a source to one of my ancestors, would it be ok to save it as a PDF file as I've scanned it in one page at a time and my scanner can save it as one complete file but the only thing I see is a pdf image which I then have to click on to view the document.

How do I save it as one source if I wanted to see it in a word file; ie. would it mean four separate sources - one for each page?

Thanks in advance

As you have found PDF documents do not display automatically and you must click its icon or the Open in Editor/Player red triangle. They also never appear in Reports.

You should create four scanned JPG/PNG graphic images of the four pages of the Will.

All four can be attached to the Multimedia tab of a single Source Record, just like you can attach four photos to one Multimedia tab of an Individual Record.

All four will appear on the Multimedia tab in the Property Box of the Source Record.

To get all four to appear in the Sources section of any Report needs some adjustment to the Report Options.
On the Sources tab increase Max Pics Per Source to at least 4 on the right.
You may also need to increase the Max. Picture Height/Width just below.

I also like to include a transcript of the Will in the Text From Source field of the Source Record.
You can include this in the Report too by ticking Text from Source option under Source Information to include.

BTW:
You mentioned creating a Word document file.
To be precise FH can save as a Word-Processor Rich Text Format (RTF) file that can opened and edited in most word-processors, not just MS Word.
However, if you do NOT need to edit the output I would advise saving as a PDF File because if you want to send it to any other PC, Mac, iPad, Android tablet, etc then the recipient will almost certainly be able to open it, whereas a Word or RTF document requires a compatible word-processor such as MS Word to be installed.

When I find myself with a census household that stretches over two census page images I use a photo-editor to create a single image of twice the width (or height) as a single jpg. It seems to me that you could do the same with your will - create a single image of four times the width. This will remove the need to change the report options but does have the disadvantage that each page may be smaller.

Yes, that is the snag David, it may be difficult to set Height & Width to give satisfactory results for images with such different aspect ratios.
