V5 upgrade from v3

Post by ilr133 » 24 Feb 2013 19:50

For many years I have used Ancestral Sources to enter census details etc. the jpg of the document stored in a central location. Since upgrading I have moved that store to the relevant projects folder. v5 has found some of the files but it appears not all. How do I correct the issue. I am not sure what has had its links restored and what hasnt. If I view a family Group report it shows some certificates etc but not all, also should I be able to view the census/certificate through the properties box? because I cant.
Any help would be gratefully appreciated
Ian

V5 upgrade from v3

You should be able to view all Multimedia files in the same way as in V3.
Can you confirm that your Projects are listed in the File > Project Window.

It is likely that in moving the files, some of the Multimedia links to the files are now incorrect.
You can examine which are the problem ones in Tools > Work with External File Links.

However, the Plugin Check and Repair Media Links should allow all links to be corrected.

Thanks for your interest. Yes they are in the file > project window. I will try the plug in you suggest.
I am finding that the 'getting the most....' book is not as helpful as I would like, perhaps you could help? I am not clear as to how you link a picture (in my case a census) to all the family members listed on it.The people are in the tree. Is there a simple way to do this? The book implies there is but fails to explain how.
I would be most grateful for your help

Ian

Ian
I am not clear as to how you link a picture (in my case a census) to all the family members
Have you considered attaching the image to the Census source rather than each individual? Then you only have to attach a single image.

Are you using Ancestral Sources for entering your Census data?  This provides the ability to add the image to the source at the time of entry.

If the plugin found no problems this means that all your media links are intact, so the transition from v3 to v5 and the creation of a project is not likely to be the cause of your problem.  If you use Tools> Work with External File Links you should find all your media listed but none with a 'X' beside them.  (A cross would indicate a broken link).

In your original post you said:
If I view a family Group report it shows some certificates etc but not all, also should I be able to view the census/certificate through the properties box? because I cant.
Any help would be gratefully appreciated
Any images linked directly to an Individual Record will be viewable in the individual's Property box but this normally only applies to photos of the individual.  If you have linked images of censuses and certificates to Source Records (this is the recommended method) you will not be able to see them directly in an individual's Property box, but if you select an event from the fact tab and then click on the yellow triangle in the Source Pane this will take you to the Property Box for the relevant Source Record and the image will be on the multimedia tab of that box. Alternatively you can click on the icon just to the left of the yellow triangle in the source pane and the image will open in a multimedia window.

In your Family Group report where are you seeing the certificates etc? If they are linked to Sources they will only be displayed at the end of the report with the list of sources/citations, and only then if you have set the option to show source images.
I am not clear as to how you link a picture (in my case a census) to all the family members listed on it.
As you have been using Ancestral Sources to enter census data you have probably linked the census images to Source Records and it is not necessary to link them again directly to each individual.

Since you have been using Ancestral Sources for many years I am surprised you ask that question.
AS does exactly what you want by creating a Source Record for the Census.
This Source Record is linked to everyone named in the Census and has the Census image on its Multimedia tab.
That is the advised method for achieving the linkage you ask for.

When you converted your FH V3 GEDCOM & Media to FH V3 Project structure it sounds like you did not follow the Help advice for new users.
See File > Project Window > Tips for New & Upgrading Users which leads to Notes for Upgrading Users.
There under FREQUENTLY ASKED QUESTIONS it explains how to organise your GEDCOM into the folder that contains your Media files.
Then when your create the Project from the GEDCOM, FH should copy all the Media files too.

Obviously this has not happened.
It might help to know how you created your Project structure and populated it with Media.

I am surprised the Plugin found no problems.

You can examine which are the problem files in FH Tools > Work with External File Links.
This will show you where each Multimedia Record is expecting to find each Media file.
You can either change the Multimedia Record > File fields in FH, or move the Media files using Windows Explorer.

If you need to adjust a whole Folder then use the FH Re-Map &/or Edit buttons.
Please do read the Help for details.

After all Media links are OK then check the following.
If any paths start with C: rather than Project Data Folder then I strongly advise using the Re-Map and choose Re-map within Project Data Folder.

thank you all for your interest and help. i think that there were two problems, the correct linking and my lack of understanding of the source pane.
I think I've got it now

Are you aware of the Ancestral Sources Tutorials that demonstrate how AS uses the Sources structure?
